AI agents and AI employees · Vancouver and across Canada

Hire an AI employee for the job nobody has time for.

Aitoflo builds AI agents that take a whole job off your plate: the inbox, lead follow-up, quotes, paperwork, reporting. Each one has a role, a boss, a schedule and a rule it never breaks. We run our own company on 35 of them.

AI employee vs chatbot vs automation

People use "AI agent" for very different things. Here's the plain difference.

Chatbot Simple automation AI employee
What it does Answers questions in a chat window Moves data from one app to another when something happens Owns a whole job: reads, decides, acts and reports back
When it works When a customer types When a trigger fires On a schedule, or whenever new work arrives
When something unexpected happens Guesses or gives up Breaks or stops Uses judgment inside written rules, and asks its boss when unsure
What it remembers This chat Nothing Notes, history and what it did last week
Example “What are your hours?” “New form entry, add a row to the sheet” “Work the inbox every few minutes, draft every reply, update the CRM, flag what needs the owner”

All three have a place. A chatbot or a simple business process automation is the right, cheaper answer for some jobs, and we'll tell you when it is. An AI employee earns its keep when the job needs judgment: reading a messy email, working out what it's about, and doing the next right thing.

Our own AI staff, as proof

We don't just sell AI agents to small businesses. We run on them. Aitoflo is a small team of people working with 35 AI employees on SAGE, our own AI employee system. Between them they run more than 70 scheduled jobs, 24/7. A few of them:

  • Trejon, chief of staff. Runs the team chat, hands each piece of work to the right desk, and checks with our founder before anything goes to a customer.
  • Secretary. Works the team inbox every 3 minutes and keeps the CRM current. On 25 Sep 2026 it brought a client's email to the team with the answer already written: “Draft reply, nothing sent.”
  • Inspector. Checks every other AI employee every 30 minutes. Its overnight report on 4 Sep 2026: “All clear, previous issues resolved.”
  • Scout. Finds and files accelerator, grant and directory applications. Its never-rule: never pay a fee.
  • Journalist. Writes three store articles a week. A second AI reviews each one before it publishes.
  • Dreamer. Tidies the team's shared memory every night, then checks it lost nothing.
  • Victor. Runs a store team and sends the owners a brief each morning.

None of these is a demo built for a sales call. They are how a lean team gets a big workload done, and they're the same setup we build for clients. On our call, we can show you any of them at work.

Jobs an AI employee can take off your plate

Think of the work that eats your week but doesn't need you personally. Common first jobs:

  • The inbox. Reads every email, sorts it, drafts replies in your voice and flags only what needs you.
  • CRM upkeep. Logs calls, emails and form fills, moves deals to the right stage and fills in missing details.
  • Lead follow-up. Contacts new leads within minutes and keeps following up until they book or say no. Pair it with a voice agent so phone leads get the same treatment.
  • Quotes. Turns site notes or a customer's request into a draft quote for your approval, then chases the open ones.
  • Paperwork. Collects missing documents, fills in forms and checks invoices against orders.
  • Reporting. Pulls numbers from your tools into a short morning summary, or keeps an owner dashboard up to date.
  • Applications. Finds grants, programs, tenders and directories that fit, and prepares each application for you to review and submit.
  • Review replies. Drafts a reply to every new review in your voice. You approve it before it posts.

How to pick the first one: choose a job that happens every day, follows rough rules, and annoys whoever does it now. Leave jobs where a single mistake is expensive until the agent has proven itself in draft mode.

The rules every AI employee works by

An AI employee without rules is a liability. Ours, and yours, each get four things written down:

  1. A role. One job, described the way you'd describe it to a new hire.
  2. A boss. A named person it reports to and asks when it's unsure.
  3. A schedule. When it works: every 3 minutes, every morning at 8, or whenever new work lands.
  4. A never-rule. The one thing it must never do, whatever happens.

A typical job card reads like this:

Role: lead follow-up for a renovation company. Boss: the owner, by text. Schedule: checks for new leads every 10 minutes, 7 a.m. to 9 p.m. Never-rule: never quote a price or promise a start date.

On top of that, two rules apply to every AI employee we build. People approve anything outward-facing or paid: a new kind of customer email, a public post, a purchase. And each agent gets only the access its job needs, with a log of everything it did, so you can always see what happened and when.

How we build an AI employee for you

  1. Pick one job. On a free 30-minute call with our team, we find the job that costs you the most hours.
  2. Write the job card. Role, boss, schedule, never-rule, and what a job well done looks like. You get it in a written plan with one clear price.
  3. Build it on your tools. Your email, CRM, calendar, WhatsApp or spreadsheets, on accounts you own wherever we can. It starts in draft mode: it prepares the work, and a person sends it.
  4. Hand over and teach. Once it does the job your way, your team learns to work with it in a hands-on workshop.
  5. Look after it. We watch it the same way Inspector watches ours, and add the next job when you're ready.

We're based in Vancouver and set up AI automation in person across Metro Vancouver, including Vancouver, Surrey and Burnaby. For businesses elsewhere in Canada, we build over video.

Questions

AI agent questions

What is an AI employee?

An AI employee is an AI agent that owns a whole job, like working the inbox or following up with every lead, instead of answering one question at a time. It works on a schedule, uses your tools, remembers what it did, and reports to a named person. It follows written rules, including one thing it must never do.

Is it safe to let an AI agent into my email and CRM?

It can be, with the right setup. Each agent gets only the access its job needs, every action is logged, and a person approves anything that goes to a customer or costs money. New agents start in draft mode: they prepare the work and a person sends it. You can see what every agent did and when.

Will an AI employee replace my staff?

It takes the repetitive parts of a job, so your people spend their time on customers, decisions and skilled work. In our own company, AI employees do the routine daily work, and people set the goals and approve what goes out. Most owners start with the job nobody on the team wants or has time for.

What tools can an AI agent work with?

Most of the tools a small business already uses: email, calendars, CRMs, spreadsheets, accounting and booking systems, WhatsApp and text. If a tool has no way in, we look for another route, such as a shared inbox or a daily export, or tell you plainly that it won't work. We check your tools before we quote.

How long does it take to set up?

It depends on the job and on your tools. The written plan you get after our free call includes a timeline as well as the price. We always start with one job so you see it working on your own data before adding the next one, and the first weeks include tuning it with you.
