Every patient call answered, even mid-appointment.

An AI receptionist for dental, physio, chiropractic and medical clinics in BC. It answers, books and reschedules, runs recalls, fills cancelled slots and sends intake forms, with privacy planned before anything is built.

An AI receptionist for dental, physio and medical clinics

Clinic phones ring at the worst times: during a procedure, while the front desk is checking someone out, at lunch, and after close, when people finally have a minute to call. A missed call is often a missed booking, and an unanswered reschedule becomes an empty chair.

An AI receptionist answers every call. It books new and returning patients into your real schedule, moves and cancels appointments, answers the questions your desk hears all day (direct billing, parking, what to bring, how long a first visit takes) and texts a confirmation. Your front desk keeps its attention on the patients standing in front of it.

It's built for one clinic: your practitioners, your appointment types and lengths, your rules for new patients and urgent calls. It doesn't diagnose, give treatment advice or decide what's urgent beyond the script you approve. A caller describing an emergency is told to call 911 or follow your after-hours instructions, and anything clinical goes to your team.

Recall, reminders and fewer no-shows

Empty chairs usually come from three places: patients who forgot, patients who meant to reschedule and didn't, and patients overdue for a visit nobody called about. An AI employee can work on all three.

  • Reminders by text a few days and a few hours before each visit, with a one-tap way to confirm or move it.
  • Waitlist fills. When someone cancels, it offers the slot to the next suitable patient on your waitlist and books whoever says yes first.
  • Recalls. It works through patients due for a hygiene visit, a check-up or a follow-up session, and calls or texts to book them.
  • Unbooked treatment. It follows up on treatment plans that were recommended but never booked, using wording your practitioners approve.

For example, a clinic with 40 appointments a day that loses three to no-shows has about 60 empty slots a month. We track your real no-show and refill rates before and after launch, so you can see how many of those slots get filled.

Intake forms, done before the patient arrives

New patients often fill in forms in the waiting room, on a clipboard, and someone types them up later. The AI sends a short intake form by text as soon as the booking is made, reminds the patient if it isn't done, and flags anything missing, such as insurance details or a signed consent, a day before the visit. Your team opens a complete file, not a half-empty one.

If your forms already live in your clinic software, we connect to it where it allows. If they don't, a simple custom intake flow can collect and organise them for you.

Privacy in BC, in plain words

Private clinics in BC fall under the province's Personal Information Protection Act (PIPA) rather than the federal law. The OIPC BC's physician privacy toolkit explains that patients usually give implied consent for information used in their direct care, and that a practice must use reasonable security safeguards, with access based on need to know. Here's how that shapes what we build:

  • What the agent sees. Only what booking needs: your schedule, the patient's name and contact details, and the reason for the visit in simple categories. It doesn't read chart notes or test results.
  • Recording notice. If calls are recorded, the agent says so at the start, says why, and offers another way to book, such as a callback from staff. That follows the federal privacy office's guidance on recording customer calls, which it describes as best practice for organisations outside the federal law.
  • Where data lives. Before launch you get a written list of every service the agent uses, what data each one holds, where it's stored and how long it's kept. Accounts are set up in the clinic's name wherever we can.
  • Who sees what. Every call and action is logged, and you decide which staff can open recordings and transcripts.

For advice specific to your clinic, talk to your privacy officer, your college or a lawyer.

Languages, and how we set it up

The voice models we use support live calls in English, French, Punjabi, Hindi, Mandarin, Korean and Filipino. Cantonese isn't supported on live calls, so Cantonese-speaking patients are offered a person or a callback.

Setup goes in four steps. A free 30-minute call with our team about your call volume, schedule and software. A written plan with one clear price. A build tested with your front desk playing difficult callers. Then a careful launch, often after hours first, with us reading transcripts and tuning. Your team learns to run it in a short session or a hands-on workshop.

We work with clinics in person across Metro Vancouver. Our Burnaby page covers clinics around Metrotown and Brentwood, our Surrey page covers clinics in Newton and Fleetwood, and the AI voice agent page shows what a call sounds like.

Questions

Clinic AI questions

Can an AI receptionist book into our clinic software?

Often, yes. If your practice management or booking software has a way for other systems to read and write appointments, the AI books straight into it. If it doesn't, we find another route, such as a shared calendar your team already uses, or tell you plainly that it won't work. We check your software before we quote.

What happens if a patient calls with an emergency?

The AI doesn't judge medical urgency. It follows the script you approve: anyone describing an emergency is told to call 911 or follow your after-hours instructions, and urgent but non-emergency calls go straight to your team by call or text. It never gives diagnoses or treatment advice.

Does the AI see patient charts?

No. It sees only what booking needs: your schedule, the patient's name and contact details, and the reason for the visit in simple categories. Chart notes, test results and treatment records stay in your clinical software, out of its reach. Every call and action it takes is logged so you can review it.

Is an AI receptionist allowed under BC privacy law?

BC's privacy law for private clinics, PIPA, sets rules on consent, purpose, security and access that apply to any system a clinic uses, a phone service included. We design the agent around those rules and give you the details in writing. For a firm answer about your clinic, ask your privacy officer, your college or a lawyer.

Can an AI receptionist reduce no-shows?

Yes. Reminders with an easy way to confirm or move the visit, quick waitlist fills when someone cancels, and steady recalls all work on empty chairs. We measure your no-show and refill rates before and after launch, so you can see the change for yourself.
